Once a user has self registered within the tool, the system administrator must then confirm their login before they are able to access records that belong to their organisation. (*Note - this includes records that they have created, assigned to their organisation. Because the user has not yet been assigned an organisation, they will not be able to see any records. )

To access the registration of an unconfirmed user, follow the steps below:

Click on the “cog” to navigate to the administration screen

Select Users from the left hand menu and check to see if there are any users only listed in brackets, with no prefix (as shown)

Select the user from the central list to display the users profile, including requested custodian organisation.

*The requested custodian organisation the user has asked to act on behalf of. Custodianship provides editing access to records belonging to that organisation.

Follow the steps in the workflow below to confirm the user in the system.

Outlined below are the steps to be taken to confirm that a user may be assigned to the requested custodian organisation. There are 3 checking mechanisms employed in this process:

  1. Users registering where their registered email domain does not match the requested organisation

  2. Contacting a known resource to confirm access

  3. Contacting the user to request further information.

In the case of 2 and 3, template emails to contact the various parties are listed in this section. The template emails created to date are listed below:

  1. Survey Coordination Tool User Profile Verification

  2. Survey Coordination Tool - Non-organisational domain verification (e.g. Gmail)
